The Duties of the Executive Committee of the Church Council:
1. The Executive Committee of the Church Council deals with everyday matters of the church and urgent matters of the Church Council.
2. The Executive Committee attends to the General Management and Administration of the Entire Church and Ensures that Programmes, Activities and Events of the Church are drawn up and are followed well according to the decision of the Church Council.
3. The Executive Committee makes sure that the Minister is protected all the time and takes full responsibility for all Church Affairs.
4. The Executive Committee of the Church Council is Formed by the Chairpersons/Conveners of the Core Ministries of the Church that appears in the Church Order of the Northern Synod.
5. The Executive Committee is formed by the Minister as the Chairperson and Chairpersons/Conveners of the Core Ministries and It reports to the Church Council.
6. The Role of the Executive Committee Members: The Chairperson of the Church Council is the Minister and the one who chairs all the Meetings of the Church. No meeting of the Executive Committee of the Church Council and Official Church Council will take place without the Presence of the Minister.
7. The Chairperson attends to the responsibilities normally associated with the office. Always participate responsibility of looking after the interests of the Church Council and Congregation and to see to it that the services and growth of the church is going according to the procedures.
8. The Secretariat Desk/Communication Publication and Archives: The Secretary and Vice Secretary. Regularly write the minutes of all the Church Council Meetings and Gatherings. Follow instructions and implement decisions normally attended to by the Church Council. Handles the correspondences of the Church Council and Congregation and responds in writing to letters that need responses. Keep a Register of the names, addresses and contacts of the Church Council Members and Congregants and ensure that the New Members are welcome in the Church during Church Service. Must make sure that an Annual Report of the Activities and Events of the Church Council and Congregation are submitted in time to the Church Council Executive Committee. A person of knowledge of Computer Literacy, i.e. Excel, PowerPoint, Microsoft Word, Internet, Full Computer Skills.
9. The Treasurer: The Chairperson of the Finance Committee. Draw up an Annual Budget together with the Finance Committee and All Treasurers of the Special Ministries, i.e. CWM, CMM, CWL, CYM, YAM, Sunday School and Catechism Class. Receive all money of the Congregation and issue Receipts for all amounts received. Ensure that all transactions are accurately recorded. Ensure that all money is Deposited on time at the Bank every Monday before 12H00. Make sure that all monies are deposited according to their specifications, i.e. Birthdays, Tithes/Pledges, Sunday collections, Special Ministries, Annual Memberships, Silver Collections, Thanks Giving Envelopes, Special Collections, Building Collections, etc. A person of knowledge of Computer Literacy and Internet Banking Skills and Excel. A person who is accountable and responsible.
10. The Executive of the Church Council to ensure that Transparency is taking place in the church all the time.
11. The Minister shall serve as the Chairperson and the Scribe as Secretary of the Executive Committee.
The Executive Committee plans the activities of the Congregation, Supports and integrates the respective permanent ministries and assists the Special Ministries, Auxiliary Services and Core Ministries where necessary.
Duties of the Finance and Administration Ministry:
1. Draw Up an Annual Budget of the Congregation and Special Ministries.
2. To ensure that a sound Financial Policy and Procedures are in place.
3. To develop and Implement Income growth strategies.
4. To develop and implement strict cash management strategies.
5. To present regular information-sharing sessions with the congregation.
6. To prepare Financial Books for Auditing.
7. To register and submit documents to the South African Revenue Services.
8. To make sure that all members of the congregation pay their monthly contributions pledges and tithes.
9. The Finance Committee is formed by members of the church and Church Council who have Financial Qualifications, Skills and Knowledge.
10. Give the congregation a Monthly Report of Income and Expenditure. Motivate Congregation on Giving.
11. The Minister is the Ex-Officio of the Finance Committee of the church.
Duties Of The Secretariat Desk: Communication Public and Archives:
1. The Support Ministry for Communication, Publication and Achieves together with the other core and support ministries ensure that the Minutes of the Church Meetings are recorded accordingly and communicate effectively internally and externally by producing News Letters and Pastoral Letters.
2. Managing Publications and Newsletters of the Congregation.
3. General Communication Network is effective.
Duties of Worship and Liturgy Ministry:
1. Responsible for the Spiritual uplifting of the Congregation.
2. Prepare the Preachers Roster if the Minister is not around.
3. Deal with the Liturgy and Worship Services Preparations.
4. Follow the Doctrine and Current Affairs of URCSA.
Make sure that there is a Choir in the Church and They attend Music Competitions.
Duties of the Judicial Matters:
1. Giving Guidance and Advice to all Official Meetings of the Church Council regarding problematic situations which may lead to litigation in civil courts.
2. Advising Church Council where necessary.
3. The commission reports directly to the Church Council Executive Committee and Church Council as a whole.
4. Maintain Discipline all the time in the church and make sure that justice is implemented.
Ensure that all disciplinary measures are followed correctly according to the Church Order and Procedures.
Duties of Service and Witness Ministry:
1. Equips all the offices and stimulates the office of believers for the task of public witness. It is the task of this ministry to empower all church members for the spontaneous proclamation of the gospel to all those who are living far from Christ.
2. The Ministry supervises the evangelization campaigns which are held at the invitation of the congregation. The Core Ministry for Service and Witness shall supervise the work of the minister of the word in the Congregation who is responsible for public witness.
The Core Ministry for Service and Witness take care of the following programmes: Mutual Care and Pastoral Care; Charity and Relief; HIV/AIDS Project, Global Missions, Integrity of Creation and Stewardship; Public Witness – Politics, Economics, Civil Society and Media; and Civil Community Service Projects – Justice and Development.
Duties of Congregational Ministry:
1. You are working with the Special Ministries functioning according to their constitutions which have been approved by Synod.
2. You are the advisers of all Special Ministries in the Church and Supervise their Ministries Accordingly.
3. You report directly to the Church Council Executive Committee and Church Council as a whole.
Duties of the Building Commission:
1. The Building Commission is formed by members of the Church Council and Members of the Congregation with knowledge and skills in Building Both Males and Females.
2. The Building Commission reports to the Minister and Executive of the Church Council in all times.
3. To ensure that the Church Buildings are in good condition all the time and are renovated and fixed.
4. To take full responsibility for the church building projects and work hand in hand with the Minister as the Ex-Officio of the Building Commission.
5. Report back at all times when there is a project that is taking place at church and all the time be on the side to monitor the project.
Duties of the Fundraising Commission:
1. To fundraise for the Church Projects, i.e. Church Building, Hall Building, etc.
2. Organize fundraising methods for the church and take full responsibility to make sure that they are successful.
3. Plan fundraising activities for the whole year for the church’s progress, i.e. Gala Dinner, Golf Day, Valentine’s Ball, Mothers and Fathers Day Fundraising, Women’s Day Fundraising, etc.
4. Report to Support For Finance and Administration Ministry and Compile a full Financial Report.
Raise funds for the Education Programmes of the Church and Also Form a Bursary Scheme for Church Learners and Provide them with Bursaries (Future Plan).
Duties of Burial Commission and Policy:
Funerals:
1. To ensure that they meet with the family before and discuss the funeral arrangements.
2. To ensure that they agree with the time of starting the funeral at home or at church and the time to go to the cemetery.
3. To ensure that they draw a Funeral Programme with the family and Ward Leader.
4. To ensure that the MC is a member of the Church Council and elected one for the MC.
5. To ensure that there is order all the time in the funerals.
6. To ensure that the funeral starts on time and ends on time at home or at church.
7.
TOMBSTONES:
1. All Tombstones must be held on Saturdays and Sundays in the morning around 7H00 and 8H00 not later than that with due respect.
2. Consult the Minister and Ward Leader a month or two months before the tombstone.
3. On the last day before Tombstone take place the prayer meeting will take place at 18H30 – 19H30.
4. All Tombstones will be conducted by the Minister, if the Minister is not around the Church Council will conduct the service.
